Signatures In Sync is a mobile notary and loan signing agent service owned and operated by Brent Adair in Nashville, Tennessee ("Signatures In Sync," "we," "us"). This policy explains what information we collect through signaturesinsync.com and our notary and signing services, how we use it, and the choices you have. We collect only what we need to schedule and complete your signing, and we never sell your personal information.
Information we collect
Information you give us
- Contact and booking requests: your name, email address, phone number, the signing location, preferred date and time, the type of document, and anything you write in the notes field.
- Signer identification: to perform a notarization, we must verify each signer's identity. We review a current government-issued photo ID, such as a driver's license or passport, and record details such as the ID type, issuing agency, and expiration date.
- Notary journal entries: for each notarization, we may record the date, time, and location; the type of document and notarial act; each signer's name, address, and ID details; and the signer's signature. We keep this journal to document that each notarization was done properly.
- Communications: messages you send us by email, text, or phone.
Loan signing documents
For loan signings, a title company, lender, or signing service sends us the loan documents to print and present to you. These documents contain sensitive personal and financial information. We use them only to complete your signing. We return the signed documents as the hiring company directs, usually by overnight courier. We do not keep copies after the signing is complete, except as the hiring company requires, and we securely destroy any extra printed pages.
Payment information
For general notary services, you may pay by cash, card, Venmo, Zelle, or other methods as agreed upon. Card payments are processed by a third-party payment processor. We may see your name and the last four digits of your card, but we never see or store your full card number. For loan signings, the hiring company pays us directly.
Information collected automatically
Our website uses Cloudflare to host the site, protect it from spam, and measure basic, aggregate traffic. This may include your IP address, browser type, and pages visited. We do not use advertising cookies or sell browsing data.
How we use your information
- To respond to your inquiry and schedule your appointment.
- To verify signer identity and perform notarial acts as Tennessee law requires.
- To complete loan signings and return documents to the hiring company.
- To keep our notary journal and business records.
- To process payments.
- To communicate with you about your appointment.
- To keep our website secure and working properly.
How we share your information
We share information only with the parties and service providers that help us complete your signing, and only as needed for that work:

We may also disclose information if required by law, such as a subpoena or a request from the Tennessee Secretary of State, to protect someone's safety, or as part of a sale or transfer of the business. We do not sell your personal information, and we do not share it for targeted advertising.
Reviews and testimonials
We will only publish your name, photo, or comments with your written permission. We never publish details about the documents you signed. You can ask us to remove a testimonial at any time.
How long we keep information
- Inquiries that don't become appointments: deleted within 12 months.
- Notary journal: kept for at least 10 years after the last entry. Tennessee law requires notaries to keep this journal.
- Loan documents: not kept after the signed package is returned, unless the hiring company requires otherwise.
- Payment and tax records: kept as long as tax law requires.
Your choices and rights
You can ask us to:
- Show you the personal information we have about you.
- Correct anything that is wrong.
- Delete your information, except notary journal entries and other records we must keep by law.
Email info@signaturesinsync.com and we will respond within 30 days. We may need to confirm your identity first.
Do Not Track
Some browsers send a "Do Not Track" signal. Because we do not track visitors across other websites, we do not change our practices in response to these signals.
Security
We use reasonable safeguards. Signing documents stay in our possession from the time we print them until we hand them to the courier. Our journal is stored securely, and we use encrypted connections, access-controlled accounts, and trusted providers. No system is perfectly secure. If a breach affects your information, we will notify you as the law requires.
Children
Our website is not directed to children under 13, and we do not knowingly collect information from them online. A minor who needs a document notarized must be accompanied by a parent or legal guardian, who should make the booking.
Changes to this policy
If we make material changes, we will update the effective date above.
